3. JOB CANDIDATES

When you complete our candidate signup form, we collect your name, email address, LinkedIn profile, functional experience, and a brief profile summary. We use this to build a database of candidates for recruitment and consulting opportunities in services across the sport, infrastructure, and commercial sectors - including opportunities with our clients.

Our legal basis for processing this data is your consent, given when you submit the form. You may withdraw this consent at any time (see Section 10).

We do not share your data with any client by default. If a specific opportunity with a client arises that may be relevant to you, we will contact you separately and ask for your explicit consent before sharing your profile with that client.

4. WEBSITE ENQUIRES

When you contact us through the enquiry form on our website, we collect your name, email address, and the details of your message. We use this information to respond to your enquiry and, where relevant, to follow up about our services.

Our legal basis for this processing is our legitimate interest in responding to enquiries about our business.

5. COOKIES AND ANALYTICS

Our website may use cookies and similar technologies to help it function properly, understand how visitors use the site, and improve our services. This can include cookies that are strictly necessary for the website to run, and analytics cookies that help us understand visitor behaviour, such as page views and traffic sources.

We only place non-essential cookies with your consent, which you can give or withdraw at any time through our cookie banner or your browser settings. Strictly necessary cookies are placed based on our legitimate interest in operating the website.

6. CLIENTS AND BUSINESS CONTACTS

In the course of our consulting engagements, we collect and process the business contact details of individuals at client and partner organizations, typically name, job title, company, email address, and phone number.

Our legal basis for this processing is our legitimate interest in managing our business relationships and delivering our consulting services.

7. EXPRESSION OF INTEREST, PREQUALIFICATION, AND TENDER/BID DATA

As a procurement consultancy, we administer expression of interest (EOI), prequalification questionnaire (PQQ), and tender/bid processes on behalf of our clients. In doing so, we collect personal data of individuals or interested organizations; such as name, role, company, contact details, and the content of the EOI, PQQ, or tender submission relevant to the process.

Our legal basis for this processing is our legitimate interest, and that of our client, in fairly and properly administering the procurement process. This data is shared with the relevant client as an inherent part of running that process, and may also be shared with independent evaluators or panel members involved in assessing submissions.

8. HOW LONG WE KEEP YOUR DATA

Job candidates // 12 months from submission, unless deletion is requested sooner
Website enquiries // 3 years from the date of your enquiry, unless deletion is requested sooner
Website analytics (user-level data) // 14 months from the date of collection. Aggregated, anonymized statistical data may be kept indefinitely.
Client and business contacts // 7 years, for legal, accounting, and contractual purposes
Expression of interest / PQQ / tender / bid data // 7 years, for audit and procurement record-keeping purposes

9. WHERE YOUR DATA IS PROCESSED

Some of our systems, including our candidate form, are hosted on Smartsheet. As a result, your data may be processed and stored outside your country of residence, including in Canada and the United States. We take reasonable steps to ensure any such transfer is subject to appropriate safeguards consistent with applicable data protection law.

10. YOUR RIGHTS

Depending on where you live and how we process your data, you may have the right to:

Access the personal data we hold about you
Correct inaccurate or incomplete data
Request deletion of your data
Object to processing based on our legitimate interests
Withdraw your consent at any time, where consent is our legal basis for processing (for example, candidate data or non-essential cookies), without affecting the lawfulness of processing before withdrawal

12. APPLICABLE LAW

As a Canadian corporation, Mabel Maude Consulting Ltd complies with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Where we process data belonging to individuals in the European Union or United Kingdom, we also comply with the General Data Protection Regulation (GDPR) and UK GDPR.
